- We are seeking a proactive and detail-oriented Receptionist/Executive Assistant. The Receptionist / Executive Assistant will be responsible for providing front-office management, administrative coordination, and executive support to the Country Manager. The role ensures efficient day-to-day office operations, professional representation of the organization, and timely delivery of administrative and executive functions.
Responsibilities
- Front Office & Administrative Support
- Serve as the first point of contact for visitors, clients, and partners, ensuring a professional and welcoming environment.
- Manage telephone calls, emails, correspondence, and courier deliveries.
- Maintain office supplies, filing systems, and front-office records.
- Coordinate meeting schedules, logistics, and travel arrangements for management and staff.
- Executive Assistance
- Provide high-level administrative support to the Country Manager including calendar management, meeting preparation, and minute-taking.
- Draft, review, and format correspondence, reports, and presentations as required.
- Handle confidential information with discretion and maintain confidentiality at all times.
- Coordinate appointments, internal communications, and stakeholder engagements on behalf of the Country Manager.
- Liaise between the Country Manager and internal teams to ensure smooth communication and timely execution of tasks.
- Office Coordination & Communication
- Ensure smooth coordination between departments and support in organizing internal and external meetings.
- Manage bookings for company facilities and ensure proper use of resources.
- Contribute to maintaining a positive and efficient workplace culture aligned with the company’s values and standards
Requirements
- Diploma or Bachelor’s Degree in Business Administration, Office Management, Public Relations, or related field
- Minimum of 2 years’ experience in a similar position, preferably within a corporate or multinational environment.
- Experience supporting senior management or executives is highly desirable.
- Fluency in English (written and spoken).
- French proficiency will be considered an added advantage
- Excellent communication and interpersonal skills.
- High level of organization and time management.
- Ability to multitask and prioritize effectively under pressure.
- Strong attention to detail and problem-solving abilities.
- Professional demeanor with exceptional customer service skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams).
